SOP Template: the Structure Auditors Expect — and an AI That Fills It In

A Standard Operating Procedure template with the structure quality managers and auditors expect to find: identification, objective, responsibilities by role, detailed steps and risk & quality notes. Below is the full structure section by section — and a way to skip the manual work entirely: let the AI write the filled SOP for you.

What the template contains

It follows the same structure as the SOPs FluxoGen generates for customers — not a generic skeleton off the internet. Each section has a clear purpose:

  • 1

    Identification header

Process name, code, version, issue date and the person responsible for approval — what the auditor looks for first.

  • 2

    Objective and scope

Why the procedure exists, where it starts and where it ends. Two well-written sentences prevent half of the team's questions.

  • 3

    Space for the flowchart

A reserved area for the process diagram — visual people follow the flow, text people follow the steps.

  • 4

    Responsibilities table

Each actor in the process and the set of actions they own. Without it, "everyone is responsible" — which means no one is.

  • 5

Steps with a Step / Action / Notes table

The heart of the SOP: each numbered step, the action in imperative voice, and the note with the detail that prevents mistakes (system used, deadline, condition).

  • 6

    Risk & quality notes

Critical rules, risks and operational traps — the knowledge that usually lives only in the head of whoever has run it for years.

  • 7

    Revision history

Version history with date, author and what changed — mandatory in any quality management system.

How to fill it in (no fluff)

Three practical rules fix 90% of poorly written SOPs:

1. Write in the imperative, one action per line. "Check the invoice against the purchase order" — not "the employee shall carry out the verification of the conformity of the fiscal documentation". If a sentence has two actions, it is two steps.

2. The note carries the detail, not the action. The "Action" column says what; the "Notes" column says where, with which system, in what timeframe and what to do when something falls outside the standard. That is where the knowledge that prevents rework lives.

3. Decisions become explicit branches. Every "it depends" in the process ("if approved…", "if the amount exceeds…") needs to appear as a question with both paths described. That is exactly what the flowchart makes visible.

Better than explaining is showing. These three SOPs were generated by FluxoGen with the same structure — an interactive BPMN flowchart included — and can be downloaded without an account:

Blank template or a filled SOP in minutes?

A blank template works when you have one process to document and time to write. When there are several processes — or the deadline was yesterday — filling them in by hand stops paying off:

Frequently asked questions

Does it work in Google Docs and LibreOffice?

Yes. The output is a standard .docx — Word, Google Docs and LibreOffice Writer all open it with the formatting preserved (tables, header and styles).

Is it good for ISO 9001?

The structure covers what audits usually require: objective, scope, responsibilities, steps and a revision history. It is a great starting point — the content must be validated by your quality team. See the full guide on SOP for ISO 9001.

What is the difference between a blank template and generating with AI?

A blank template you fill in by hand. With FluxoGen, you describe the process in plain text and get the filled SOP with a BPMN flowchart in minutes — the first one costs $1.40, with $4 free when you create your account.
